Job Overview – Parts & Service Coordinator
The Parts& Service Coordinator is responsible for assisting both customers and internal teams with parts, supplies, and service paperwork.
Key Responsibilities
- Serve as the primary point of contact for service customers, assisting walk-in and phone customers with scheduling, service inquiries, estimates, and invoicing
- Open, update, and close service work orders, ensuring accuracy of customer, equipment, labor, and parts information
- Prepare and communicate service quotes and estimates, obtain approvals, and keep customers informed of repair status and findings
- Coordinate closely with the Shop Lead regarding incoming work, technician scheduling, job progress, and priorities
- Assist the service department with parts identification, requests, and ordering to support efficient repair turnaround
- File and track all warranty claims, ensuring compliance with manufacturer requirements and proper documentation
- Complete service billing and payment processing, including final invoicing and customer follow-up
- Support the parts department by assisting walk-in and call-in parts customers, processing orders, and providing product support
- Assist with ordering, receiving, stocking, and returning inventory, ensuring accurate records and proper organization
- Maintain organized and accurate service and parts paperwork, including work orders, invoices, warranty documents, and customer communications
- Communicate professionally with customers, technicians, and management to ensure a positive customer experience and smooth internal operations
Qualifications & Requirements:
- A high school diploma or equivalent is required; a college degree is preferred.
- Previous experience in parts sales is desirable but not required.
- Computer proficiency is required to manage inventory and process orders.
- Must be a team player with a focus on providing excellent customer service.
- Strong interpersonal skills for interacting with customers in person and over the phone.
Physical Demands:
The physical requirements for this position include standing for extended periods (over 75% of the time), walking, sitting, bending, and heavy lifting. Employees will also regularly carry, stoop, and lift parts or equipment.
Effective communication is required for both in-person and telephone interactions, and employees will need to use a computer as part of their daily tasks.
Ability to lift and carry items weighing between 15-50 lbs.
Work Environment:
This role involves working in both office and warehouse settings, with conditions varying based on the tasks being performed.
